Terms of Service

These Terms of Service govern your use of ReviewBot (the "Service"), a trading name operated from Buckinghamshire, England. By signing up and using the Service, you agree to these terms in full. If you do not agree, you must not use the Service. These terms do not affect your statutory rights under applicable UK consumer protection law.

1. The Service

ReviewBot monitors your Google Business Profile for new customer reviews and uses artificial intelligence to draft suggested responses. You retain full control over what is posted — responses are only submitted to Google when you explicitly approve them, unless you have enabled auto-approval for specific star ratings (available on Pro plan where multi-plan pricing is active).

The Service is dependent on Google Business Profile API access. In the event that Google restricts, modifies, or revokes API access, we will notify you as soon as reasonably practicable. Service disruptions caused by third-party platforms are outside our control and do not entitle you to a refund unless otherwise required by law.

We do not guarantee uninterrupted or error-free service. Planned maintenance will be communicated in advance where possible. We are not liable for service interruptions outside our reasonable control, including but not limited to third-party API failures, cyberattacks, network outages, or other force majeure events.

2. Eligibility

You must be at least 18 years old and operating a legitimate business to use the Service. By signing up, you confirm that you have the authority to connect your Google Business Profile to ReviewBot. If you are located outside England and Wales, local consumer protection laws may apply in addition to these terms.

3. Subscription and Payment

ReviewBot is offered on a monthly subscription basis at £39/month (Standard plan), covering 3, 4 and 5-star reviews with full response customisation.

All prices are in GBP. VAT is not currently charged. If VAT becomes applicable in the future, we will notify you at least 30 days in advance and update these terms accordingly.

Payments are processed securely by Stripe. By providing your payment details, you authorise us to charge your chosen plan monthly in advance. Subscriptions renew automatically at the end of each billing period.

You may cancel at any time and will retain access until the end of your current billing period. No refunds are issued for any unused portion of a billing period.

14-day cancellation right waiver: Under the Consumer Contracts Regulations 2013, you have a statutory right to cancel within 14 days of purchase. By starting your subscription and confirming at signup that the service should begin immediately, you expressly request that the Service commences before the end of the 14-day cancellation period. You acknowledge that once the Service has begun, you lose your 14-day right to cancel and are not entitled to a refund for any unused days in your current billing period.

The only exception is abandoned onboarding: if you completed payment but did not connect your Google Business Profile, the Service has not commenced and a full refund will be issued automatically within 24 hours.

Nothing in these terms affects any rights you may have under the Consumer Rights Act 2015 where the Service has not been provided with reasonable care and skill.

4. Fair Use

The Service is intended for use by individual business locations. Use of the Service to manage reviews for multiple business locations under a single subscription is not permitted unless explicitly agreed in writing. We reserve the right to suspend accounts that we reasonably believe are being used in breach of this policy, subject to providing reasonable notice where practicable.

5. Your Responsibilities

You are responsible for:

You must not use the Service to post responses that are misleading, defamatory, harassing, or in breach of any applicable law or platform guidelines.

You agree to indemnify and hold ReviewBot harmless from any claims, damages, costs, or expenses (including reasonable legal fees) arising from your use of the Service, any content posted through your account, or your breach of these terms.

6. AI-Generated Content & Your Responsibility

Responses are drafted using large language model technology provided by Anthropic. While we take reasonable steps to ensure response quality, AI-generated content may occasionally be inaccurate, inappropriate, or not reflective of your intended tone.

You are solely and entirely responsible for any response that is published to your Google Business Profile, whether posted via manual approval or auto-approval. By approving a response — or by enabling auto-approval for specific star ratings — you confirm that you have authorised that response and accept full responsibility for its content and any consequences arising from its publication.

Auto-approval constitutes your standing instruction to ReviewBot to post responses on your behalf without further review for the star ratings you have selected. You should review your auto-approval settings regularly and disable them if you have any concerns about the responses being generated.

ReviewBot accepts no liability for any reputational damage, customer complaints, legal claims, or other losses arising from the content of responses that have been approved — manually or automatically — by you or on your behalf. If a response causes harm, the responsibility lies with the account holder who approved or enabled its publication. This does not exclude liability for our own gross negligence or wilful misconduct.

AI-generated responses are provided for your use in managing your Google Business Profile. We make no claim of ownership over responses you publish. We strongly recommend reviewing all AI-drafted responses before approval, particularly for negative or sensitive reviews.

7. Intellectual Property

The ReviewBot name, logo, software, and platform are the intellectual property of ReviewBot. You may not copy, reproduce, modify, or distribute any part of the Service without our prior written consent.

AI-generated responses drafted by the Service are provided for your use. We make no claim of ownership over responses you publish to your Google Business Profile.

8. Data and Privacy

We collect and process your personal data in accordance with our Privacy Policy. By using the Service, you consent to this processing. We store your business information in encrypted form and do not sell your data to third parties.

You have the right to request a copy of your data or its deletion at any time by contacting us at yourreviewbot.app@gmail.com. Data deletion requests will be processed within 30 days.

9. Suspension and Termination

We reserve the right to suspend or terminate your account if you breach these terms, fail to pay, or use the Service in a way that we reasonably believe causes harm or legal liability. We will endeavour to provide at least 7 days notice before taking such action, except where immediate action is required to prevent harm, fraud, or legal liability.

On termination, your data will be retained for 365 days in accordance with our data retention policy, after which it will be permanently deleted. Invoice records are retained for 7 years as required by UK financial law.

10. Limitation of Liability

To the fullest extent permitted by law, ReviewBot shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service, including but not limited to loss of revenue, loss of reputation, or loss of data.

Our total liability to you in any 12-month period shall not exceed the total amount you have paid to us during that period.

Nothing in these terms limits or excludes liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited under applicable law including the Consumer Rights Act 2015.

11. Force Majeure

We shall not be liable for any failure or delay in performing our obligations under these terms where such failure or delay results from events beyond our reasonable control, including but not limited to: acts of God, government actions, third-party platform outages (including Google API), cyberattacks, internet failures, pandemics, or other circumstances outside our reasonable control. We will notify you promptly of any such event and take reasonable steps to resume the Service as soon as practicable.

12. Changes to These Terms

We may update these terms from time to time. Where changes are material, we will notify you by email at least 14 days before they take effect. If you object to any material changes, you may cancel your subscription before the changes take effect and receive a pro-rata refund for any unused prepaid period. Continued use of the Service after the notice period constitutes acceptance of the revised terms.

13. Dispute Resolution

Before initiating any formal legal proceedings, both parties agree to attempt to resolve any dispute informally by contacting us at yourreviewbot.app@gmail.com. We will endeavour to respond within 14 days. Nothing in this clause prevents either party from seeking urgent injunctive relief where necessary.

14. Governing Law

These terms are governed by the laws of England and Wales. Any disputes that cannot be resolved informally shall be subject to the exclusive jurisdiction of the courts of England and Wales, subject to any mandatory consumer protection rights you may have in your local jurisdiction.
